Do you have too many emails in your inbox and the number keeps growing daily? You say to yourself, “Man! I really need to get these emails under control! What should I do and where do I put them?” Consider the following techniques to control the emails in your inbox: - Create folders for your email account – You may be keeping several emails in your inbox because you have no where to put them. Create folders using common names (e.g. receipts, passwords, newsletters, etc.) the same way you would with your paper folders. Once you’ve read an email and you feel the need to keep it, simply drag and drop into the appropriate folder.
- Create email contact lists – People change emails and addresses all the time. Create contact lists to keep track of these changes instead of keeping the email. Most people already know how to do this but they don’t take it very seriously. Did you know you can export all of your email contacts to your computer in the form of a spreadsheet? The possibilities are endless; you can start a mail merge to create labels and letters during the holidays, etc. This is a good reason to keep your email contacts updated regularly, especially if you don’t have a physical address book.
- Set up picture folders on your computer – Digital pictures need a home too! Create folders on your computer for different people, places and events. Download the pictures and then delete the email or move it into a folder.
- Set up spam/junk filters – For those who are new to using email, this feature is a must have! For those who are more experienced, make sure your filters are set to the appropriate level to allow less spam.
Purge/delete regularly – Quick regular purging will always keep any inbox under control.
